POSITION DESCRIPTION: Senior Staff Assistant

JOB SUMMARY

Serves as front-line representative of the College of Law by responding to questions and requests for information.  Assists and provides critical support for a wide variety of initiatives relating to the enrollment of law students, including:  scheduling visits to the College of Law, coordinating various facets of on- and off-campus events, preparing reports and providing clerical support for the assistant dean and other admissions staff, monitoring and ordering office supplies and office publications, and serving as a secondary resource for the Admissions Information System.

DUTIES AND RESPONSIBILITIES

  • Serves as a front-line representative of the College of Law.  Responds promptly and professionally to all questions and requests for information via phone, email, and in person.  Responds to inquires from all types of prospective students regarding application procedures, admission standards, application status, admission and financial aid timelines, the academic program, and other matters.
  • Plans and coordinates prospective student visits to the College of Law – scheduling appointments, coordinating student-led tours and meetings, sending reminder confirmations, preparing and sending pre- and post-visit communications (as requested).  Greets and welcomes visitors upon their arrival and gives tours of the College of Law on an as-needed basis.
  • Coordinate multiple aspects of on-campus and select off-campus events (room reservation, pre-registration process, pre- and post-communication with attendees, liaison to Events Office, preparation of promotional materials and/or signage, assistance with check in, etc.)
  • Provides support for recruitment travel – processing registration materials and payments, preparing and shipping all admission materials, and maintaining the recruitment calendar.
  • Provides clerical assistance and support to other staff on an as-needed basis with reports, projects, and programs
  • Develops and maintain working knowledge of ACES2 admissions and communication information system and serves as back-up support and provides assistance with all phases of application processing when other staff is absent; promptly and correctly enters prospect information.
  • Coordinates roommate ID service and serve as the primary office contact with regard to housing opportunities for entering law students:  maintaining print and electronic resources for off-campus housing.
  • Provides assistance to Admissions Coordinator with mailings and other projects at peak times.  Provides assistance to Assistant Dean, Director, and Assistant Director with select projects and initiatives.

Supervisory Responsibilities:  none.

PREFERRED EDUCATION AND EXPERIENCE

Education: Bachelor’s Degree

Experience: 3 years working in a similar position

QUALIFICATIONS REQUIRED:  KNOWLEDGE, SKILLS AND ABILITIES

  • Ability to provide high quality service and handle multiple priorities with confidence and poise in a fast-paced environment
  • Well develop written, telephonic, and in-person communication skills
  • Ability to work effectively as a member of a team
  • Proficiency with word processing, spread sheets, and databases; ability to become proficient with the use of ACES2 admissions information and communication system
  • Ability to maintain strict confidentiality with regard to all matters relating to applicant data and information

WORKING CONDITIONS AND PHYSICAL DEMANDS

  • Work is normally performed in a typical office environment.
  • Level of exposure to physical risk is very limited to none.

REPORTING RELATIONSHIP

Reports to the Assistant Dean of Admissions and Financial Aid on a functional basis; reports to the Director of Admissions on an administrative basis.
